Working with Tasks

Overview
Tasks allow you to track the time spent on a project and on which activity.  You can track your progress against a task plan and the cost budget.

You can create a detailed breakdown of the activities on a project as a list of Tasks either manually or generated from a bill of quantities.  Tasks allow you to record what should be done over what date range.  People perform work against tasks recording how long they've worked, billable time, as well as notes, mileage and expenses.

You can also create work plan for resources that are to work on a task allowing you better manage your resources.

Process
Create a task against a Project, record work against the task, add expenses to the work, then Process Task Costs to create cost and billing information in the Job Cost module.
TaskProcess

Task Structure
A task has a Project as it's parent, it can have one or more Planned or Actual work records against it.  The Actual Work record can have Expenses added to it, which transfer into the Job Costs module creating leaving a Billing History against the Task.
TaskRelationships

Task Resources
People can perform work against a task in as different roles and at different rates.  For example a senior designer might be billed at a higher hourly rate when doing design but if they help out doing documentation they are charged out at a lower rate.

Creating Tasks
You can add Tasks directly in a Project by opening a project, clicking on the Tasks node in the tree, then right clicking in the Tasks grid on the right and selecting New.


The Task Edit form allows you to enter the Task description, set start and stop dates, priorities, notes etc.

The tabs allow you to see information relating to the task:
Partners/Resources - shows the details of contacts that are working on the task
Work - shows the actual work history and any planned work.
Billing - allows you to set if the Task is billable or not and shows any billing expense budgets
FileStore - shows and documents stored against the task
Audit Trail - shows a history of certain changes to the task.
